The Facilities Lead is responsible for leading the end-to-end facilities and workplace operations for a corporate office of approximately 1,000 employees. The role is accountable for ensuring a safe, secure, compliant, and employee-centric workplace while delivering operational excellence, business continuity, and cost optimization.

The incumbent will oversee engineering services, workplace management, office administration, security, housekeeping, cafeteria operations, vendor management, statutory compliance, capital projects, and employee workplace experience.

Responsibilities

Facility Operations

  • Lead daily facilities operations to ensure uninterrupted business continuity.
  • Maintain office infrastructure, engineering systems, and employee amenities to high operational standards.
  • Develop and monitor preventive and predictive maintenance programs.
  • Manage office space utilization, seating plans, expansions, renovations, and workplace optimization.
  • Align and work closely with the Travel Team
  • Coordinating various CSR projects

Engineering & Infrastructure

Oversee the operation and maintenance of:

  • HVAC systems
  • Electrical distribution and UPS
  • DG sets
  • Plumbing and water systems
  • Fire detection and firefighting systems
  • Building Management Systems (BMS)
  • Elevators and common building services

Ensure high equipment availability and timely preventive maintenance.

 

Vendor & Contract Management

Lead the selection, onboarding, and performance management of service providers for:

  • Security
  • Housekeeping
  • Technical maintenance
  • Cafeteria and pantry
  • Pest control
  • Landscaping
  • Office supplies
  • Waste management
  • Courier and logistics

Manage service level agreements (SLAs), contract renewals, commercial negotiations, vendor audits, and invoice approvals.

Workplace Experience

Create an efficient and engaging workplace by ensuring:

  • High standards of cleanliness and hygiene
  • Seamless meeting room and visitor management
  • Effective reception and front office services
  • Employee comfort and workplace amenities
  • Timely resolution of workplace requests and feedback

Health, Safety & Compliance

  • Ensure compliance with all applicable statutory and regulatory requirements.
  • Maintain Fire & Life Safety systems and emergency response procedures.
  • Conduct safety audits, risk assessments, mock drills, and compliance inspections.
  • Drive workplace safety and environmental initiatives.

Budget & Cost Management

  • Prepare and manage annual facilities operating and capital budgets.
  • Monitor expenditure and identify cost optimization opportunities.
  • Drive energy efficiency and utility cost reduction initiatives.
  • Ensure optimum utilization of facilities resources.

Security & Business Continuity

  • Oversee physical security, access control, CCTV, and visitor management.
  • Develop emergency response and business continuity plans.
  • Lead crisis management and incident response activities.

Team Leadership

  • Lead and mentor the facilities team and outsourced partners.
  • Establish performance goals and service standards.
  • Foster a culture of accountability, customer service, and continuous improvement.

  • 99.9% workplace operational uptime
  • Preventive maintenance compliance above 95%
  • Zero major facility disruptions
  • Employee workplace satisfaction above 90%
  • Vendor SLA compliance above 95%
  • Budget adherence within approved limits
  • Zero critical statutory or safety non-compliance
  • Successful completion of internal and external audits
  • Delivery of annual cost optimization initiatives

Qualifications

  • Graduate / or postgraduate with 17–20 years of experience in Corporate Facilities Management.
  • Minimum 5 years managing facilities for offices with 700–2,000 employees.
  • Experience in IT, ITES, GCC, multinational, or large corporate environments preferred.
  • Proven expertise in vendor management, workplace operations, statutory compliance, and facilities budgeting.
