Position Summary

The Executive – Facilities is responsible for supporting the day-to-day facilities operations of a corporate office with approximately 1,000 employees. The role ensures smooth functioning of workplace services, coordinates with vendors, monitors office infrastructure, and provides timely resolution of facility-related requests to deliver a safe, efficient, and employee-friendly workplace.

The role requires strong coordination skills, attention to detail, customer service orientation, and the ability to manage multiple priorities in a fast-paced corporate environment.

Responsibilities

Facility Operations

  • Support the daily operations of the office and ensure facilities are maintained in a safe, clean, and functional condition.
  • Conduct regular walkthroughs to identify maintenance issues and ensure timely resolution.
  • Coordinate office repairs, maintenance activities, and infrastructure upkeep.
  • Monitor meeting rooms, common areas, pantries, washrooms, and employee workspaces to ensure they meet organizational standards.
  • Working in coordination with the travel team.
  • Coordinating CSR Projects.

Vendor Coordination

  • Coordinate with housekeeping, security, engineering, cafeteria, pest control, and other service providers.
  • Monitor vendor attendance and service quality against agreed service levels.
  • Escalate service issues and follow up until closure.
  • Verify vendor work completion before processing service requests.

Employee Support

  • Act as the first point of contact for facility-related employee requests.
  • Resolve workplace issues within agreed service timelines.
  • Support office seating changes, employee moves, onboarding, and workstation readiness.
  • Coordinate arrangements for meetings, leadership visits, and company events as required.

Maintenance & Asset Management

  • Maintain records of office assets and facility equipment.
  • Coordinate preventive maintenance schedules with engineering teams and vendors.
  • Track maintenance requests and ensure timely closure.
  • Report recurring issues and recommend corrective actions.

Health, Safety & Compliance

  • Support compliance with workplace safety policies and emergency procedures.
  • Assist in fire drills, emergency evacuation exercises, and safety inspections.
  • Ensure fire exits, emergency equipment, and safety signage remain accessible and functional.
  • Report unsafe conditions immediately.

Administration & Documentation

  • Maintain facilities-related records, maintenance logs, vendor documentation, and statutory compliance files.
  • Prepare daily, weekly, and monthly operational reports.
  • Support invoice verification, purchase requisitions, and expense tracking.
  • Maintain inventory of pantry supplies, office consumables, and facility materials.

 

Workplace Experience

  • Ensure reception, meeting rooms, and common areas remain presentable at all times.
  • Support employee engagement initiatives related to workplace services.
  • Monitor cleanliness, hygiene standards, and employee amenities.
  • Coordinate visitor arrangements and special workplace requirements.

Key Performance Indicators (KPIs)

  • Timely closure of facility service requests within SLA.
  • High workplace cleanliness and maintenance standards.
  • Vendor SLA adherence.
  • Zero critical workplace safety incidents attributable to operational lapses.
  • Accurate maintenance of records and documentation.
  • Positive employee feedback on workplace services.
  • Timely support for office events, employee onboarding, and seating requests.

Qualifications

Education

  • Bachelor's degree in any discipline. A diploma or degree in Facilities Management, Engineering, Hospitality, or Business Administration is preferred.

Experience

  • 8–11 years of experience in Facilities, Administration, Workplace Services, or Office Operations.
  • Experience in corporate offices, IT/ITES organizations, business parks, or multinational companies is preferred.
  • Familiarity with vendor coordination and office administration is desirable.

External: Housekeeping, Security, Engineering Contractors, Maintenance Vendors, Cafeteria Partners, Courier Services, Building Management and Utility Service Providers.

They should be comfortable coordinating with multiple stakeholders, responding promptly to facility requests, and maintaining high standards of workplace safety, cleanliness, and operational excellence while contributing to a positive employee experience.
